Refund Policy

This policy explains how refund requests are reviewed for Langodium subscriptions and paid trial purchases.

1. Scope of this policy

This Refund Policy explains when XspaceHQ Inc. may approve refunds for Langodium subscription purchases and the paid trial session. Langodium is a software-based learning service that uses credits to provide access to live speaking practice and related learning features.

This policy applies to subscription payments and the paid 30-minute trial. It does not create a separate refund right for standalone credit purchases or other purchases unless we expressly state otherwise, or unless a refund is required by applicable law.

2. Subscription billing and cancellation

Langodium subscriptions renew automatically until cancelled by the user. Cancelling a subscription stops future renewal charges, but it does not automatically refund a payment that has already been made.

Unused subscription credits may roll over while the subscription remains active. If a subscription is cancelled, unused credits do not continue to roll over after the subscription access period ends, unless we are required by law to treat them differently or we confirm otherwise in writing.

3. Credit validity and failed payments

Paid trial credits are valid for 3 months from the date they are granted, unless we confirm a different validity period in writing or a longer period is required by applicable law.

If a renewal payment for an ongoing subscription fails, subscription credits associated with that subscription may be frozen while the payment is being retried or reviewed. During this period, the frozen subscription credits cannot be used for live speaking sessions, but separate paid trial credits may remain usable if they are still valid and not otherwise restricted.

We currently allow up to 7 days for a failed subscription renewal to be recovered. If the payment is successfully completed during that period, eligible subscription credits may be restored or made usable again. If the payment is not recovered within that period, frozen subscription credits from the unpaid or affected subscription period may be expired, removed, or otherwise made unavailable.

Credits may also be frozen, reversed, or removed if a payment is refunded, charged back, disputed, cancelled by a payment provider, or identified as unauthorized, fraudulent, abusive, or otherwise invalid.

4. Refund eligibility

A subscription payment may be eligible for a refund if the refund request is submitted within 14 days of the purchase date and no credits from that purchase have been used.

The paid 30-minute trial may also be eligible for a refund if the request is submitted within 14 days of purchase and no trial credits have been used.

If any credits from the relevant subscription period or trial purchase have been used, the purchase is not eligible for a discretionary refund under this policy. This is because using credits starts delivery of the learning service.

Refunds are not provided only because a user did not reach a particular learning outcome, score, fluency level, accent result, or personal goal after credits have been used.

If a refund is approved, unused credits connected to the refunded purchase may be reversed, expired, or removed from the account. If credits from that purchase have already expired, the refund request may need to be reviewed before any payment action is taken.

5. Technical issues and interrupted sessions

If credits are consumed but a live speaking session cannot be meaningfully delivered because of a confirmed Langodium platform issue, we may restore the affected credits or, where appropriate, review the purchase for a refund. This review may require session logs, timestamps, account details, or other information needed to confirm what happened.

Refunds or credit restorations are not automatic for issues caused by a user's device, browser, microphone or camera permissions, local network connection, VPN, unsupported software, or failure to follow setup requirements. We will still try to help resolve the issue through support.

Short interruptions, provider outages, latency, voice or video generation errors, or temporary unavailability of a third-party service may be handled through credit restoration, rescheduling, service adjustment, or another support resolution before a cash refund is considered, unless applicable law requires a different outcome.

6. Plan changes, promotions, and free credits

Plan upgrades, downgrades, renewals, and other subscription changes may affect credit grants, access periods, rollover behavior, and refund eligibility. Any refund or credit adjustment connected to a plan change is reviewed based on the payment record, the credits granted, and whether any credits from the relevant purchase were used.

Free, promotional, bonus, restored, goodwill, or complimentary credits have no cash value, are not transferable, and are not refundable. If a payment is refunded, credits granted as part of the refunded purchase or related promotion may be removed from the account.

7. Processing fees and refunded amount

Approved refunds are issued to the original payment method through our payment provider. Where permitted by law, discretionary refunds may exclude non-refundable third-party charges, such as payment processing, currency conversion, bank, or transaction fees.

Refund amounts are reviewed by support. Approval of a refund request does not guarantee that every tax, processing fee, currency conversion fee, network fee, bank fee, or third-party charge can be returned by Langodium or its payment providers.

Mandatory consumer rights are not limited by this policy.

8. How to request a refund

To request a refund, email support@langodium.com within 14 days of the purchase date. Please include your Langodium account email, billing email, payment transaction or order ID, purchase date, and a short explanation of the issue.

Please do not send full card numbers, passwords, or other sensitive payment credentials. We may ask for additional information if we need it to identify the payment or verify whether credits were used.

9. Review and timing

We aim to respond to refund requests within 1 business day, and no later than 3 business days in normal circumstances.

If a refund is approved, we will usually process it within 5 to 7 business days. The time it takes for the funds to appear in your account may depend on the payment provider, your bank, your card issuer, or another provider involved in the transaction.

A refund is not final until the payment provider confirms it has succeeded. If the provider declines, fails, or reverses a refund attempt, we may need to review the request again or ask for additional information.

10. Mandatory consumer rights

This policy does not limit any mandatory consumer rights under applicable law. If the law in your country gives you cancellation, withdrawal, regret, refund, or other consumer rights that cannot be waived, those rights continue to apply.

Where mandatory law requires a different outcome, we will handle the request in accordance with that law.
